Paying employees in CA

When hiring employees in new states, you need to register for relevant state tax accounts to facilitate their payment.  Check out this video tutorial for registration guidance: Register for an Employer Payroll Tax Account Number.

Your CA accounts and rate info

CA requires one account number for State Withholding and Unemployment Insurance (UI), which can be found in your CA Employment Development Department (EDD) account. You’ll want to enter the account info, which includes your UI rate, into Justworks. 

This info can be found:

  • On your New Employer Account Registration Info letter where it was originally provided
  • In the upper right-hand corner of any additional agency correspondence (listed as Account ID)
  • In your online e-Services for Business account
    • Under the "I Want To" section, click Get My UI Rate

If you're unable to find your account number or tax rates, contact the agency directly at (888) 745-3886.

 

Entering in tax info in Justworks 

Once you have a valid CA address added to your company’s offices, you can add your account info in Justworks by navigating to: 

  1. Company > Settings in the left navigation bar
  2. Under ‘Company tax info’ click into “California” to edit the state tax information 

 

Third-party admin access 

As your company’s payroll provider, Justworks will use the account info provided to remit and report CA tax liabilities on your behalf. Sometimes, the state may send notices regarding payroll tax liabilities. 

Justworks can review these notices with appropriate Third-party admin access to your CA state tax account. Access can be granted by providing answers to the following security questions:

  • What are the Total Subject Wages reported from one of your last three wage reports?
  • What is the Payment Amount from one of your last five payments?
  • What is the Letter ID from your most recent rate notice or letter CA EDD mailed to you? This should be the letter ‘L’ followed by 10 numbers.

*Note: You can enter 0.00 if there were no wages reported or payments made by your company
