All shifts submitted in Justworks Time Tracking are available for immediate review and approval by a Justworks Time Tracking admin or manager. Shifts are submitted in a 'pending' state. A pending shift is identified in the dashboard by the light blue box that says ‘pending’ in the status column. An approved shift is identified by the green box that says ‘approved’.
Approving Shifts
To begin, click on the Track Time tab in the banner at the top of the screen and then Completed Shifts.
You can use the filters on the left side of the screen to control which shifts are visible to you. You can filter by pay period, a specific date,pending shifts or by a specific employee. .
After setting filters, you can view any shifts that match the filter in the shifts table. To approve shifts in bulk, use the checkbox next to the shift(s) you would like to approve. You can use the checkbox at the top of the member’s weekly block of shifts to select all of their shifts from that week. Once you've selected the shifts you'd like to approve, click on the 'Approve' button towards the top left. You can also approve all shifts using the ‘Approve All’ button, located in the top right.
You can also un-approve shifts that have been previously approved to return them to a pending state. To do so, make sure your filter is set to show "All Shifts" and then select the shifts you would like to unapprove, then click the 'Un-approve' button.
To approve a single shift, click on the row of the shift you would like to approve and click the 'Save and Approve' button.
Editing Shifts
When editing a shift, you can change the date, location, start time, and/or end time, change the pay rate, and add or remove breaks from the shift.
To edit a shift, find the shift you'd like to edit in the Track Time Tab→ Completed Shifts. Click on the row for that shift. This will bring up the shift details window. You can click on any value to edit it. Once you've made your edit, click on 'Save' or 'Save and Approve'. As the account admin, you can edit a shift in both the pending and approved states mentioned above. For admins who have Justworks PEO and Justworks Time Tracking, it will be best if the shift is approved already, to un-approve the shift, make the necessary edits, and then approve the shift so any of the changes can sync over to the Justworks PEO timecards. Please note: You cannot edit an active shift (Track Time Tab→Open Shifts).
Deleting A Shift
To delete a shift, click the checkbox next to the shift you'd like to delete and then click on the trash can icon. A deleted shift is removed from the employee's time sheet and can no longer be edited or approved. You can recover a deleted shift. To do so, click on 'View Deleted Shifts' under the filters on the left side of the screen in the Shifts tab.
Then click on the checkbox next to the shift(s) you'd like to recover and then click ‘Restore Shifts’ at the top of the page. These shifts will be restored to the shifts tab and to the employee's time sheet. Simply click ‘Manage Shifts’ (located in the same place as ‘View Deleted Shifts’) to go back to the standard shift view.
Shift Icons
We’ve made it easy to view all of the information about the shifts in your account on our management dashboard, but you might see some symbols you don’t recognize. Here’s what they mean:
Indicates that the shift has been edited, either by the employee (this can be turned on/off in Preferences → Time Tracking) or by a user with the Manager/Admin role. If this icon is present, a change has been made to the shift after it was submitted. A change could include edits to either check-in or check-out time, or edits to a break duration.
Indicates that the shift was submitted manually. Manual shifts can be submitted by employees from the app (this can be turned on/off in Preferences → User Permissions) for a block of time without actually checking in and out for the shift. Manual shifts can also be submitted by Managers/Admins on behalf of employees who may have forgotten to check in for a shift.
Indicates that overtime has been logged for the shift. By moving your cursor over the icon, a tooltip will appear that specifies the total amount of overtime that has been calculated.
Indicates that there are Live Notes attached to the shift. Live Notes allow for real-time communication and photo-sharing between employees, managers, and other team members within that specific shift.
Indicates that Justworks Time Tracking will automatically check out employees who have not checked out manually after a set amount of hours by the admin of the account (this can be turned on/off in Preferences → Time Tracking). The icon designates shifts that have been auto-checked out because of duration.
