Refreshing the Integration

There are two methods to have changes made in either Justworks Time Tracking or Justworks PEO reflected in both portals.  Please note: Only the admin can refresh the integration between Justworks Time Tracking and Justworks PEO.

  1. 24-Hour Sync- Changes made in one portal will automatically be reflected in the other portal within 24 hours.
  2. Manual Refresh- To see an immediate change in the portal from either Justworks PEO or Justworks Time Tracking
    1. Go to Justworks Time Tracking
    2. Click the Integrations Tab
    3. Click Justworks in the drop-down menu
    4. In the upper right corner, click the green colored refresh button.

Following these steps, changes that were made in one portal will appear in the other portal.

Examples of Changes between portals:

  1. Making a manager
  2. Making an admin
  3. Changing Pay Rates
  4. Adding new members (W2 or 1099 workers)

Payroll

When you acquire Justworks Time Tracking, there is a two-step approval process to make sure your W2 workers are compensated on time. The first approval is the review of the shifts in Justworks Time Tracking for real-time time tracking. The second approval is for the shifts that sync from Justworks Time Tracking to Justworks PEO timecards. This second and final approval not only adds the shifts from Justworks Time Tracking but also the PTO (auto-filled) and holiday hours (manually entered) that were put into the timecard.

  1. First, you or a designated manager need to approve all shifts in Justworks Time Tracking. All necessary edits must be made in Justworks Time Tracking before proceeding to the next step.  
  2. Once you approve the shifts, please allow 5 minutes for the shifts to sync over to Justworks PEO.

  1. Once you feel confident that everything has synced over without issue, go to Justworks PEO and click the ‘Timecards’ tab under ‘Payments.’
  2. Review the shifts in the Saved Drafts tab that were synced from Justworks Time Tracking, along with the PTO and holiday hours that were added to the time card.
  3. Make sure to pay attention to the gray box that is next to the ‘Pay Period’ drop menu. This box will let you know when the appropriate time is to approve the timecards. Usually, it will be on a Monday, but sometimes, for the holidays, it will be earlier
  4. Once you are satisfied, you can click Approve All or go to each timecard, Click Show Details, Edit, and then click Approve.
  5. Doing that action will move the timecards from Saved Drafts to Approved.

Hours Sync Report

To find and know the statuses of the shifts that are sent from Justworks Time Tracking to Justworks PEO after they have been approved, you can simply go:

  1. To Justworks Time Tracking
  2. Click the Integrations Tab
  3. Click Justworks in the drop menu
  4. Scroll down to Hours Sync Reports, and it will let you know which date range needs attention.
  5. Once you click on the date, it will show you a list of all the employees who worked that week, and there will be one of three statuses next to their shift:
    1. Sent- This means the shift was sent to Justworks PEO successfully! It will also provide the date and time that it was sent over successfully.
    2. Send- There was an issue with the sync, and the shift has to be manually sent to Justworks PEO by clicking Send. Once you click the button, it will change to either Sent or Error.
    3. Error- There was an issue with the sync, and it needs more attention. If you hover over the word Error it will let you know what kind of error it is! If you do not know what the error means, then reach out to your Justworks Time Tracking customer support advocate.
