Running reports in Time Tracking allows you to get an overview of your employees’ shifts, which you can then download as convenient .csv files. Admins can run reports for all employees, while managers are limited to their direct reports. Below, we’ll go through the different types of reports and their settings. If you click on the “Reports” tab at the top, the choices below will appear for you:
Timesheets Report
- Show- Allows you to select whether you want to run a report by Employee or by Location.
- Offices- You can select which Office you want to appear in the report, whether one or all, and it will narrow down what employees or locations have any affiliation with that Office.
- Dates- Choose the start and end dates that you want the report to be about. Please note that you can only set dates in 6 months. Any dates past 6 months will not generate the report
- Status- Select whether you want to see shifts that were Approved, Pending (shifts that have not been approved), or both under the All selection.
- Sort By- You can choose between Date Range (a custom set of dates set by you) or Work Week (Pre-selected dates that reflect one week).
- Run Report- Once you have set the information that you would like to see in the report then you can click the Run Report button. The Run Report button will generate the report that you set up, and then you will see the numbers start to generate, reflecting the dates that were set for that specific report, whether by employees or location.
- Summary- After the Run Report button has been pressed then you can look at the summary below to get a synopsis of what you will see in the downloaded report. You can even press an employee or location to get the detailed report before downloading it.
- Download- Once the report generates and the summary shows the figures, you're ready to download.. Select one or all of the Employees or Locations you want to see in the report. Once the desired things are selected, the grayed-out Download will now illuminate green, indicating that you can now download the report. Please note that the download will come as a Zip File and give you a separate spreadsheet report for each employee or location.
Time Off Report
Time Off Reports focus specifically on approved or declined time off requests in Justworks PEO. It's important to understand that requesting, approving, declining, or editing time off (PTO) is handled entirely within Justworks PEO. Justworks Time Tracking simply reflects the PTO information from Justworks PEO..
Running a Time Off Report has some of the same functionality as the Timesheet Report.
- Dates- Select the date range for your report. The ‘Date Range’ does not have a cap.
- Run Report- After setting your desired report options, click 'Run Report'. This will generate the report based on your selections, showing data for the specified dates. Please note that only employees, not locations, will be listed..
- Summary- After running the report, you'll see the summary below. This summary provides a preview of the downloadable report. You can also click on an employee's name to see a detailed report beforehand..
Project Reports
Project Reports focus more on the Projects that were created within the system. Each Project is attached to one shift.
- Dates- Select the date range for your report. The ‘Date Range’ does not have a cap.
- Run Report- After setting your desired report options, click 'Run Report'. This will generate the report based on your selections, showing data for the specified dates. Please note that the report will only list the projects that were tracked.
- Summary- After running the report, you'll see the summary below. This summary provides a preview of the downloadable report. You can also click on a project to see a detailed report beforehand.
- Download- There is no need to select the Project. Pressing the download button will download the Projects and shifts associated with those Projects.
Total Time & Pay
This report will give you the exact time the employee clocked into their shift, the exact time when the employee started their break, and the exact length of the break they took.
Once Total Time & Pay is selected, you have a couple of drop-down menus to choose from:
- Employee Status- You have the choice to choose ‘All’, ‘Active’, or ‘Terminated Employees’ to appear in your report.
- Employee Type- You have the choice to choose the employees’ role, whether Contractor, Hourly Employee, Salaried Employee, or All-in-one report.
- Locations- You get to choose to run a report by Location (which is created in the Manage→Locations navigation) and who tracked time under that specific location. Know more about Locations in Justworks Time Tracking here.
- Job Codes- You get to choose to run a report by Job Codes (you can find Job Codes if you click the little person in the upper right corner→click Account in the drop-down menu→left side of the screen, click Job Codes) and who tracked time under that specific Job Code. - Dates- Enter the Start and End dates of what you would like to see in the report.
- Summary- Once you click 'Run Report' or the page automatically refreshes after you enter your information, a summary will appear below. This summary will give you an overview of the downloadable report. You can also click on an employee, location, or job code to preview a detailed report before downloading..
- Download- Once your summary is generated, you can select what you would like to see on the downloaded report. What stands out more than the other reports is the start and end times for breaks and the notes that may have been recorded for that shift.
