Justworks Payroll Enrollment Checklist
Enrolling with Justworks Payroll is the first step toward getting your team paid. Complete the items below to create your company’s account. Then, you will be able to move forward with the onboarding process to finish your company’s setup.
Please note that the steps marked as optional do not need to be completed during enrollment to move forward. However, they will need to be completed during onboarding before your company can start processing payroll.
Enter your company details
To start, you will need to enter some basic information about your company. Our system needs this information on file to ensure your company’s payroll taxes are filed correctly.
These required company details include:
- Legal business name
- Doing Business As (DBA) name (if applicable)
- Industry
- Company phone number
- EIN
- Business address
- Business mailing address (if not the same as business address)
In addition, you will have the option to use the business address as an office address. Please note that every employee you add to your company’s account will need to be assigned to an office, so setting the business address as an office address during enrollment may save you the time it would take to create a new office location later.
In this section, you will also see a checkbox for marking your company as a 501(c)(3) organization. Checking this box will indicate your company is exempt from federal unemployment tax (FUTA) as a 501(c)(3) organization.
Fill out the details of your position
As the company’s admin, you will also need to enter your personal account information to ensure we have the correct contact information on file. This information includes:
- Member type
- Name
- Title
- Phone
- Start date
- Office
Add your team (optional)
If you have your team members’ information on hand, you can add them by entering the same details listed above that were required for your own account. Entering a team member’s information does not mean that they will be immediately invited to join the platform, as you will have the option to send the invitation later if needed.
If you aren’t ready to enter this information yet, you can still click ‘Start’ to access the task, then scroll to the bottom of the page and click the ‘Skip’ button.
Keep in mind that team members will need to be invited to the platform and have their personal details entered in Justworks Payroll in order to receive payments.
Manage your company tax information (optional)
Your company’s federal and state tax information will need to be entered in the system to ensure that our team is able to file and remit your payroll taxes accurately. Specifically, these details are needed:
- Federal: Let us know whether your company has been assigned a semiweekly or monthly tax deposit schedule by the IRS. If you have never filed a 941 under its EIN before, it's likely that you would be considered a monthly depositor according to IRS Publication 15.
- State: Enter the details for your company’s state tax accounts, including withholding and state unemployment insurance accounts. For help locating this information, click into the applicable state on this page. If you’d like our team to register your company’s state tax accounts on your behalf for an additional fee, let us know at support@payroll.justworks.com.
If you have already submitted your company’s state tax account registration and are waiting to receive the account details, you can still move forward with your company’s enrollment by checking off the ‘I don’t have all of this information’ box, then ‘Yes’ for having applied for state tax accounts already.
If you haven't started the registration process yet, you can skip this step during enrollment by checking off the ‘I don’t have all of this information’ box. Please note that these tax details will be requested during the onboarding process.
Connect your company bank account (optional)
You can enter and verify your company’s bank account details in Justworks Payroll one of two ways:
- Instant verification (recommended): We use Plaid to securely verify your company’s bank account instantly. All you need to do is select your bank, log in, and your account will be verified.
- Manual verification: You will receive two small deposits (less than $1 each) within 24-48 business hours. You will need to enter these verification amounts in Justworks Payroll to confirm your company bank account details.
Keep in mind that you will need to connect your bank account instantly via Plaid if you would like to follow a 2-business day payroll processing timeline instead of the standard 4-business day payroll processing timeline.
If you don’t have your company’s bank information on hand, you can scroll to the bottom of the page and select ‘I’ll do this later’ to move forward with enrollment.
Please note that your company bank account information will need to be entered and verified during the onboarding phase before you can start processing payments through the platform.
Manage your company’s workers’ comp insurance (optional)
If your business needs workers’ comp coverage, you can integrate a workers’ comp insurance policy with your company’s Justworks Payroll account by working with our workers’ comp insurance partner, NEXT. NEXT helps to simplify compliance by offering pay-as-you-go workers’ comp policies.
If your company does not need workers’ comp coverage or already has an outside policy in place, you can skip this step by clicking the ‘Maybe later’ option on the right side of the page. If you skip this section during enrollment, you can always set up a workers’ comp policy through NEXT after your Justworks account has been created by following these steps.
Explore benefits for your company (optional)
You have the opportunity to offer your employees benefits directly through the Justworks Payroll platform, making it simple to manage plan details, premium payments, and more. The benefits available through Justworks Payroll include:
- Health insurance (Medical, Dental, and Vision plans)
- HSA, FSA, and Dependent Care FSA
- Retirement Plans
- Commuter Benefits
- Life Insurance
- Disability Insurance
While you can request quotes for any benefits you may be interested in during the enrollment process, you can skip this step and re-visit your company’s benefits options during onboarding, or even after you start processing payroll. To bypass this task, you will need to click into the ‘Maybe later’ option on the right side of the page.
Completing Enrollment
In Step 2 of enrollment, you will be asked to review Justworks Payroll’s pricing details and sign our Customer Service Agreement.
Once you have acknowledged these items, you will be finished with your account’s enrollment, and ready to move into the onboarding stage. For more information on what onboarding includes, please take a look at this Onboarding Checklist.
